One reception desk for the whole clinic

Today: “Hold on, I’ll put you through to the surgery”The clinic’s reception phone rings for every dentist. The receptionist cannot see into their calendars, so she calls the surgery while the patient waits on the line.

How it works

  1. The clinic chief invites receptionists by e-mail on the Reception access screen and ticks for each whether she may take payments. A dentist, nurse or hygienist of the clinic can be a receptionist too. After signing in she picks a surgery or the reception on the Where today? screen.
  2. The reception sees today in every surgery, searches for the patient and a free time across the whole clinic, and books, moves or cancels a visit.
  3. A new patient, an acute exception or a cancellation fee forgiveness goes to the surgery as a request. A new patient and an acute exception are approved by the surgery’s dentist, nurse or hygienist; a fee forgiveness by the dentist, in dental hygiene by the hygienist. Once approved, Zuboklik creates the patient, books the visit or forgives the fee and sends the patient an SMS.

What you do

Add receptionists on the Reception access screen.

Common objections
What if another patient is standing at the desk?
The Hide details button hides the patients’ details on the screen and the browser remembers it.
Can the reception take fees?
Only a receptionist with May accept payments ticked. A cancellation fee is then paid right at the desk. Only the clinic chief can revert a desk payment.
Who approves a cancellation fee forgiveness?
The surgery’s dentist, in dental hygiene the hygienist. Forgiving a fee costs the surgery money, so the reception does not decide it alone.
Can someone from a surgery be a receptionist?
Yes. A dentist, nurse or hygienist of the clinic gets reception access without an invitation and after signing in picks a surgery or the reception on the Where today? screen.
